OPERATIONS ASSISTANT

The Role
The primary role of the Operations Assistant is to support company operations by maintaining office and warehouse systems, assisting with customer service and offering direct support to the Directors.
This position is responsible for general company management, project administration and comes with a busy but varied day to day task list. The right candidate must have a strong capability to multitask and manage administration for daily tasks and projects that roll out over time.
The role includes:
- Processing all wholesale orders in Dear Inventory daily
- Liaising daily with 3PL warehouse via email and the portal

Managing specific warehouse tasks, including but not limited to:
- Stock checks
- Receiving/delivery files
- Create web SKUs
- Check insert stock levels
- Process online order returns and refunds through Shopify and the 3PL warehouse

Manage integration between Dear Inventory and Shopify, including but not limited to:
- ensuring products are removed when out of stock
- listing new products

Stockist management:
- Make sure stockist registry on website and in google contacts is always up to date
- Check in with stockists on a regular basis via email/phone
- Managing contact lists in Mailchimp
- Assisting with customer service:
- Answering the main phone line
- Responding to customer enquiry emails sent to Walter G’s generic inboxes
- Ordering office & kitchen supplies and maintaining an inventory
- Assist in creation / organising print marketing like flyers for trade shows
- Design and implement office policies by establishing standards and procedures
- Managing material for upcoming tradeshows / ensure all online forms and imagery have been submitted
The ideal candidate:
- Has no desire to be in a creative role but enjoys working in a fluid, relaxed and creative environment
- Loves administration and procedural systems
- Is technically confident and a fast learner of online portal
- Has experience in online customer service (i.e. via email)
- Is able to work in an autonomous role and still be part of the team
- Has a proven ability to analyse operational processes and ensure continuous improvement
- Has excellent attention to detail
